Create catalogue items

This section describes how you can use the ELG platform to create new items which will be published at the ELG catalogue.

All these actions are available through the provider’s grid. To access it, you must sign in with an account that has the “provider” role. If you don’t have such an account, see how you can register and become a provider.

The current release of ELG offers two options for registering a catalogue item:

You can use the Copy records functionality to create similar metadata records to the ones you have already created.

Use the interactive editor

Create item

To access the editor form, sign in to ELG, click on My grid and select the “Add items” option. From the dropdown list choose the “Interactive editor” as shown below:

On the item type selection page, select the form for the type of item you wish to create, e.g. “Corpus” in the screenshot below.

Follow the instructions that appear in order to create a new item. The editor form includes all the elements of the minimal version of the ELG schema (mandatory and recommended). These are organized into Sections and Tabs. You can fill in the elements in any order you wish.

Resources marked as “work in progress” are ELG compatible services or resources that will be hosted at ELG and are in the process of being created by the providers. For such cases, some of the information is not yet known (e.g. size of the resource, licence). If you tick the “work in progress” box, when the item is published on the ELG catalogue, the “Download” tab will not be visible. When the resource is ready, please contact us and we will return the record to the editing status, so that you can proceed with the final submission.

To save the record, you can click on “Save draft” or “Submit”, depending on whether you have filled in all the required elements (see Publication lifecycle). In both cases, you can come back later and continue editing it.

When you are satisfied with the description, you can proceed to submit the record for publication. For this step, you MUST have filled in all the required elements; to find out which ones these are, see the section relevant to the type of item at Minimal version.

Manage your item through view page

Each time you click on “Submit”, you can view the metadata record as shown on the ELG catalogue:

From this page, you can select to go back to editing mode, submit it for publication or delete the metadata, depending on the status of the record (see Manage your items for more information).

Create and upload metadata files

Create a metadata file

If you wish to create metadata files compliant with the ELG schema, you will find at the ELG GitLab templates (that you can use to create new metadata records) and examples. For this release, the metadata files MUST be in XML format.

Note

The metadata files that you upload to ELG MUST be “syntactically valid”; i.e, they MUST contain all required elements of the Minimal version of the ELG schema.

In contrast, the metadata records created via the editor can also be saved as “draft” (only a “name” is required for this action); only when all the required elements have been filled in, can they be submitted and considered “syntactically valid”.

Validate metadata file(s) against the ELG XSD

You can validate the metadata file(s) you create against the ELG schema XSD, using the ELG validator, which is accessible in two modes:

The ELG validator can be used for validating single XML files or zipped archives.

Upload the metadata file(s)

Click on My grid and select the “Add items” option. From the dropdown list, select “Upload XML” as below:

Now upload the file you created.

If there are any errors in your XML file, these will be shown to you. Fix them and try the upload again.

Eventually, a success message will be shown to you and the metadata will be imported into the database. You will then be prompted to upload the content files for the record you submitted, if you want to.

When you have finished, you can submit more metadata files, or proceed to the “My items” page to view, edit and submit the record(s) for publication (see Manage your items).

By following the same process, you can upload mulitple metadata files zipped together in a file (with extension .zip).

You will receive an email when the upload has finished with a report on the files that were successfully uploaded and the errors, if any, of failed records. You can then go to the “My items” page to view, edit and submit for publication the uploaded metadata records (see Manage your items).
